Privacy Policy

1. Privacy at a glance

StudioStashr is built around a few straightforward principles:

• We collect the information needed to operate your account and the studio records you choose to create.
• We do not sell your personal information.
• We do not use your information for behavioral advertising.
• AI-assisted features are optional.
• StudioStashr does not use AI to create artwork for you.
• Images are sent to OpenAI only when you intentionally use an AI-assisted extraction feature.
• You can export your StudioStashr information.
• You can delete your StudioStashr account.
• We use limited technical analytics and error diagnostics rather than invasive session recording.

2. Information We Collect

Account information

When you create a StudioStashr account, we collect information needed to create and manage it, such as:

• your email address;
• account and authentication identifiers;
• account verification status;
• plan or entitlement status;
• usage allowances and account preferences.

StudioStashr does not store your password in readable plaintext.

Studio information you create

StudioStashr stores the information you choose to enter into your studio record.

This may include:

• Supplies;
• product information;
• quantities and reorder information;
• estimated values if you enable value tracking;
• photographs and swatches;
• Locations;
• Palettes;
• Projects;
• Journal entries;
• reference images;
• notes and observations;
• relationships among your Supplies, Locations, Palettes, Projects, and Journal entries.

You decide what information to add.

StudioStashr is not intended to be used to store passwords, private keys, financial-account credentials, government identification numbers, medical records, or other highly sensitive personal information.

Technical and usage information

StudioStashr and the services used to operate it may process limited technical information such as:

• browser or device type;
• pages or application routes visited;
• general performance information;
• error information;
• basic security and anti-abuse information;
• general usage information needed to enforce plan limits.

This information is used to operate, secure, maintain, and improve StudioStashr.

StudioStashr does not use this information to create advertising profiles.

3. Optional AI-Assisted Features

AI-assisted features are optional.

You can turn Allow AI-assisted features off in your Account settings and continue using the core StudioStashr application.

StudioStashr uses AI for narrow utility tasks such as helping extract information from photographs of art supplies.

StudioStashr does not use AI to generate artwork on your behalf.

What may be sent for AI assistance

When you intentionally use an AI-assisted extraction feature, StudioStashr may send:

• the product photo you selected;
• relevant Supply reference images already associated with that Supply;
• limited instructions or context needed to perform the extraction.

The resulting suggested information is returned for you to review.

You decide what to save.

OpenAI processing

StudioStashr uses the OpenAI API for these optional extraction features.

StudioStashr does not use OpenAI as a place to store or archive your studio photographs.

OpenAI states that data submitted through its API is not used to train or improve OpenAI models by default unless the customer explicitly opts in.

OpenAI may retain API inputs and outputs in abuse-monitoring logs for up to 30 days unless a different eligible retention arrangement applies or longer retention is legally required.

AI-generated information can be wrong.

You should review important details before relying on them, particularly:

• product identity;
• pigment information;
• lightfastness;
• safety information;
• dimensions;
• sizes;
• quantities.

4. Photos and Private Files

StudioStashr allows you to upload photographs and other supported images associated with your studio records.

User images are intended to be stored privately rather than published publicly.

StudioStashr uses access controls intended to prevent one user from accessing another user's private records or files.

No online service can guarantee absolute security.

You should keep independent copies of irreplaceable photographs.

5. Backups and Exports

StudioStashr allows you to keep copies of your information outside the service.

Available export formats may include:

• structured backup data;
• spreadsheet files;
• full backups containing data and saved images.

Prepared download files are temporary and are removed after a limited availability period.

StudioStashr may send you an account-related email when a requested backup is ready or if preparation fails.

User-facing restore/import is not currently available during the Foundational Beta.

6. Service-Recovery Backups

StudioStashr keeps protected recovery copies of application data to help restore the service after a serious technical failure.

These copies are used for recovery and continuity, not for marketing, profiling, or advertising.

Because recovery backups are maintained on a rolling schedule, information removed from the active service may remain temporarily in protected backups.

Some recovery copies may remain for up to approximately 210 days before automatic expiration.

This means account deletion does not necessarily erase every historical recovery copy immediately.

Those protected copies age out automatically and are not restored to the active service except when needed for legitimate disaster recovery.

7. Account Deletion

You can request permanent account deletion from within StudioStashr.

The account-deletion process is designed to remove your active:

• StudioStashr account;
• Studio records;
• saved images;
• prepared backup files.

Account deletion cannot be undone through the application.

Limited copies may remain temporarily in service-recovery backups until those copies reach the end of their retention schedule.

Certain third-party providers may also retain limited technical records where required for security, fraud prevention, legal compliance, or operation of their services.

8. Founding Artist Reservations

StudioStashr may periodically offer a Founding Artist or other introductory reservation program.

Submitting a reservation does not create a paid subscription and does not authorize a charge.

Reservation information may include:

• your email address;
• the subscription option you are most interested in;
• information you voluntarily provide about your interest in StudioStashr.

StudioStashr currently uses an external form provider to collect reservation responses.

Reservation information is used to:

• record the offer you requested;
• understand interest in StudioStashr's paid plan;
• contact you about that reservation;
• let you know when the reserved offer is available.

Reservation retention

Reservation data is retained while the reservation remains active and while StudioStashr is completing reasonable follow-up.

Once the reservation is:

• fulfilled;
• declined;
• canceled;
• expired;
• or otherwise resolved,

the reservation data will normally be deleted within 30 days, unless you separately chose to receive ongoing StudioStashr updates.

9. Optional StudioStashr Updates and Marketing

StudioStashr may offer an optional way to receive product updates, launch news, new-feature information, and future offers.

This consent is separate from reserving a Founding Artist offer or creating a StudioStashr account.

The choice should be voluntary and will not be preselected on your behalf.

For example, you may be offered an option similar to:

Keep me updated about StudioStashr.

I'd like to receive occasional StudioStashr product updates, launch news, and future offers by email. I can unsubscribe at any time.

If you opt in, StudioStashr may keep your email address for those communications until you unsubscribe or the update program ends.

You may unsubscribe at any time using the unsubscribe method provided in the email.

After you unsubscribe, StudioStashr may retain only the limited information necessary to remember and honor your opt-out preference.

Choosing not to receive marketing messages does not prevent StudioStashr from sending necessary account, security, backup, or reservation-related communications you requested.

10. Bug Reports and Support

StudioStashr provides ways to report bugs and request support.

A bug report or support message may contain:

• your email address;
• what you were trying to do;
• what happened;
• when the problem occurred;
• screenshots, recordings, or other information you choose to provide.

Please remove unrelated personal information before submitting screenshots or recordings.

Never send:

• passwords;
• authentication codes;
• recovery codes;
• API keys;
• private keys;
• other security credentials.

Bug-report information is used only to investigate problems, provide support, improve StudioStashr, and protect the service.

Routine bug reports are normally deleted within 12 months.

Information may be retained longer only when reasonably necessary for an active security investigation, legal requirement, dispute, or similar exceptional matter.

11. Email Communications

StudioStashr may send transactional emails necessary to operate the service.

These may include:

• email verification;
• password-reset messages;
• account confirmations;
• security-related communications;
• backup notifications;
• communications necessary to administer a reservation you requested.

Transactional messages are separate from optional marketing communications.

StudioStashr uses third-party email-delivery services to send these messages.

Those providers receive only the information reasonably necessary to deliver and operate the email service.

12. Forms

Some StudioStashr activities currently use external forms, including:

• Founding Artist reservations;
• Quick Bug Reports.

These forms are currently provided through Google.

When you submit one of these forms, Google processes the information you enter according to Google's applicable terms and privacy practices.

Deleting your StudioStashr application account does not automatically delete information you previously submitted through a separate external form.

You may contact StudioStashr to request deletion of a separate reservation or support record where applicable.

13. Public StudioStashr Website

The public StudioStashr information site is currently hosted through ChatGPT Sites.

OpenAI hosts the published site and processes technical and hosted information as necessary to operate, maintain, secure, and support it.

For published ChatGPT Sites, OpenAI describes the Site operator as the controller of personal data collected through the Site, while OpenAI processes hosted data on the operator's behalf under the applicable ChatGPT Sites terms and Data Processing Addendum.

The public information site and the authenticated StudioStashr application are separate services.

14. Cookies and Similar Technologies

StudioStashr uses technologies necessary to:

• keep you signed in;
• secure the service;
• prevent automated abuse;
• measure basic performance and usage.

StudioStashr does not currently use third-party advertising networks or behavioral-advertising cookies.

Blocking required browser storage, cookies, or security technologies may prevent some StudioStashr features from working correctly.

15. Analytics and Error Diagnostics

StudioStashr uses limited analytics and technical error monitoring to understand how the application performs and to diagnose failures.

This may include information such as:

• application route;
• browser or device type;
• operating-system information;
• broad locale or timezone settings;
• performance information;
• error information;
• application version.

StudioStashr deliberately limits diagnostic collection and does not use session-replay recordings.

Diagnostic information is used for operation, security, and troubleshooting—not advertising.

16. Service Providers

StudioStashr relies on third-party providers for functions such as:

• application and website hosting;
• account authentication;
• private data and file storage;
• email delivery;
• security and anti-abuse protection;
• limited analytics and error monitoring;
• optional AI processing;
• external forms;
• disaster recovery.

These providers may process limited information as necessary to perform the services StudioStashr uses from them.

StudioStashr may also disclose information when reasonably necessary to:

• comply with law or valid legal process;
• investigate fraud, abuse, or security incidents;
• protect StudioStashr, its users, or others;
• enforce applicable agreements.

17. No Sale of Personal Information

StudioStashr does not sell personal information.

StudioStashr does not rent your studio records or photographs to advertisers.

StudioStashr does not use your studio records for cross-context behavioral advertising.

If these practices materially change in the future, this Privacy Policy will be updated before the new practices apply where required.

18. Payment Information

StudioStashr does not currently collect payment-card information because paid Studio subscriptions are not yet active.

A Founding Artist reservation is not a payment authorization.

If paid subscriptions are introduced, this Privacy Policy will be updated as necessary to describe the payment provider and related data practices.

StudioStashr does not intend to directly store full payment-card details.

19. How Long We Keep Information

Retention depends on the type of information.

Active StudioStashr account data

Kept while your account remains active unless you delete individual records sooner.

Temporary export files

Kept only for the limited time needed to make the requested download available.

Service-recovery backups

May remain for up to approximately 210 days.

Founding Artist reservations

Kept while the reservation and reasonable follow-up remain active, then normally deleted within 30 days after the reservation is resolved, unless you separately opted into ongoing updates.

Marketing/update list

Kept until you unsubscribe or the list is discontinued, subject to limited retention needed to honor an opt-out.

Routine bug reports

Normally retained for no longer than 12 months.

Provider technical records

Third-party providers may retain limited records according to their security, operational, contractual, or legal requirements.

StudioStashr tries not to keep personal information longer than reasonably necessary for the purpose for which it was collected.

20. Your Choices and Controls

You can:

• edit your Studio records;
• delete Studio records;
• remove photographs;
• update your account email;
• disable AI-assisted features;
• leave optional value tracking off;
• export your information;
• request a full backup;
• unsubscribe from optional marketing;
• permanently delete your StudioStashr account.

Turning AI off does not delete your Studio records.

Moving from Studio to Free

Moving to the Free plan does not automatically delete existing records.

If a category exceeds the Free limit, you can still:

• view;
• search;
• edit;
• delete;
• back up;
• export

the information already in that category.

You simply cannot add new records in the over-limit category until you reduce it below the Free limit or return to Studio.

You do not need to remember to export before downgrading.

Backup and export remain available afterward, including for existing information above the Free limits.

21. Your Privacy Rights

Depending on where you live, applicable privacy laws may give you rights relating to your personal information.

These may include rights to:

• access information;
• correct inaccurate information;
• request deletion;
• obtain a copy of information;
• object to or restrict certain processing;
• withdraw consent where processing is based on consent;
• opt out of marketing;
• complain to an applicable privacy authority.

Some rights may be subject to legal exceptions.

Many StudioStashr records can be accessed, edited, exported, or deleted directly through the application.

We may need to verify your identity before acting on certain requests.

22. International Processing

StudioStashr is operated from the United States.

Some service providers may process or store information in the United States or other countries where they operate.

Privacy laws may differ between countries.

ChatGPT Sites currently does not provide data-residency guarantees for published Sites.

Where required, service providers may use legal safeguards for international transfers.

23. Children

StudioStashr is not directed to children under 13.

StudioStashr does not knowingly collect personal information from children under 13.

If we learn that such information was collected in violation of applicable law, reasonable steps will be taken to delete it.

Users who have not reached the age of legal majority where they live should use StudioStashr with parent or guardian involvement where required.

24. Security

StudioStashr uses reasonable technical and organizational measures intended to protect account information and studio records.

These include authenticated access, private user-data controls, security monitoring, anti-abuse protections, and protected recovery systems.

No online system can guarantee absolute security.

During the Foundational Beta especially, you should keep independent copies of irreplaceable photographs and important studio information.

25. Foundational Beta

StudioStashr is currently in Foundational Beta.

The service will continue to evolve as it is tested and used by artists.

That may include:

• adding or removing features;
• changing service providers;
• refining data-handling practices;
• changing retention periods;
• changing subscription features.

If a change materially affects how personal information is handled, this Privacy Policy will be updated and additional notice will be provided where appropriate.

Beta status does not change StudioStashr's responsibility to handle personal information carefully.

26. Changes to This Policy

StudioStashr may update this Privacy Policy from time to time.

When the Policy changes, the Last Updated date at the top will be revised.

Material changes may also be communicated through:

• the application;
• the public site;
• email;
• another reasonable method.
